

When you’re in the business of holiday rentals, you’re aware of Check-Ins & Check-Outs. Especially if you’re not managing these services yourself, it is very important to have clear procedures to give your guests the best possible experiences.
In our case we were managing our holiday rentals from another country, so we knew from the beginning that working with services (check-ins/outs) & service providers (the people performing these services) and being able to communicate about all the work would be a core feature of the AirCare.rentals platform.
Therefore we introduced the concepts of: Services, Service Providers, Jobs & Checklists.
For each of your properties you can define the services that you want to manage. Examples are: Check-In, Check-Out, Cleaning, Key Exchange. In the screenshot below you can see that you have a “Services” tab in your property:
By pressing on the “Add a service” button you will get the popup shown below. There you select the service type (Check-In/Out, Key Exchange, Cleaning,…), you can give it a custom name, a price and some info.
For each individual service you can then create 1 or more checklists. For the “Check-in” service you could create 2 checklists:
List 1 “To prepare before guest arrives”, with the check items:
- Check if property is clean
- Put towels on bed
- …
List 2 “Explain to guest” containing:
- Explain how TV works
- Explain how to activate alarm
- …
But of course, it is completely up to you to define your services & checklists.
You can create these checklists by pressing button 1 (number in red in the screenshot below):
This opens the work editor from where you can easily add checklists:
The next step is to link your services with a service provider, this is the person (or company) that will execute or fulfill the service. You do this by pressing the person button in your services overview (see 2 screenshots above/number 2 in red). Then you can select an existing contact or you could create a new contact:
If your service provider is also working with the AirCare platform, then he/she can easily follow up all the work allocated to him/her.
For the Check-In example, you could be working for instance always with Ms. Mary Smith who welcomes all of your customers. So, you can link her easily with your “Check-In” service of your property.
So now the setup is finished: you defined your services and the check-lists and service providers for your services.
When you create new bookings (reservations) for your properties, then AirCare.rentals will automatically1 create a job for each of your services and will allocate it to the correct service provider. And from there you can follow-up your jobs as they become relevant (the moment of Check-In arrives).
1) To be more exact: you can configure on your service if a job will be created automatically for each new booking
